ImageMaker is more than a document archival system. ImageMaker is database driven and can be custom integrated with your information systems to provide linking of data with image files. ImageMaker can extract customer sales order information from your CRM or accounting systems, populate ImageMaker databases with desired fields, and link documents such as customer purchase orders, packing slips, shipping documents, invoices, signed waybills etc. The documents submitted to ImageMaker can be documents scanned from within the organization, received by email or fax, or automatically generated by your existing applications such as printing .pdf images of your invoices, packing slips, etc. and passing those images on to ImageMaker for processing. This eliminates the need to physically scan each document. When viewing ImageMaker WorkFolders, the viewer has access to order entry data, related images, and custom annotations or notes added by document editors and contributors. ImageMaker can be integrated with Microsoft Exchange messaging server platform allowing ImageMaker WorkFolders to be viewed within the context of Public Folders in Exchange as well as within the ImageMaker client application. Document workflow can be incorporated into the process if required. For example, as a customer purchase order is received, it can be routed electronically to individuals needing to approve or acknowledge the order prior to data entry. A vendor invoice received may need to be routed to individuals for approval prior to payment. Once the document has been submitted to ImageMaker by means of scanning the document or importing an existing image file such as a tif or pdf file, it is held in an inbox within ImageMaker. Items in the inbox can be processed directly by attaching the image to an existing Vendor WorkFolder, or can be routed for approval to the appropriate person. The status of the document can be monitored as it moves from incoming, to routed, and finally to approved or rejected status. Once the document has been approved, it can be processed and attached to the appropriate Vendor WorkFolder. ImageMaker uses a structured hierarchy consisting primarily of a top level Document Group or WorkFolder which is a container of information. Within the WorkFolder container is a series of Document Types such as Invoices, Packing Slips, Waybills, Purchase Orders, Contracts etc. The WorkFolder container is populated with various tabs of information which is derived from your data source, as well as a sub container of image documents which are linked to this WorkFolder. All of the characteristics of the WorkFolder are custom designed to suit your needs, including data fields displayed in the WorkFolder tabs, layout and appearance of the tabs, Document Types to be used, and data to be collected from your various data sources.
